Work with controls and evidence

Controls are the recurring practices that support your framework readiness — for example monthly meter data is reviewed. Evidence is what shows a control is working.

Open Framework and select the Controls tab.

The controls list#

Each row shows the Control, Area, Type (automated or workflow), Facility, Status and the Next / Due date. Filter by status and see readiness by area at the top.

Row actions:

Action Use it to
Upload evidence Attach a document to a workflow check
Run Re-evaluate an automated check
Submit Submit a workflow check for its period
Create action Turn a gap into an action
Request N/A Ask for the check to be marked not applicable, with a reason
Assign Set the action owner and evidence owner

Check statuses#

Status Meaning
Ready / Passing The check is met
Needs attention Close to the threshold
Failing Not met
Review required / Submitted Waiting for review
Not started No work yet
Not enough data Not enough data to evaluate
Not applicable Excluded with an approved exception

Workflow checks recur. Each occurrence shows whether it is upcoming, due soon, due, overdue, submitted or passed.

Add evidence#

  1. Open a check and go to Add manual evidence.
  2. Enter a Title, attach the Document or photo (PDF, PNG, JPG or XLSX, up to 10 MB) and add a Description.
  3. Select Submit for auditor approval.

Organization Managers and Sustainability Managers can always add evidence. A Facility Manager can add evidence when they are the assigned evidence owner, or when no owner is set.

Evidence review#

Submitted evidence is reviewed by ErgOps reviewers. Your own team cannot approve its own evidence. Each decision comes with a comment:

Decision Effect
Approved The evidence counts toward readiness
Changes requested Update and resubmit
Rejected The evidence does not count

Approved evidence that expires stops counting.

The assurance loop#

Control → gap → action → evidence → re-evaluation

The Assurance loop panel on each check shows where it is in this cycle.
