Record utility and operational data

The Data Hub is where you bring utility consumption into ErgOps — from invoices and meter readings — and turn electricity and natural gas into Scope 2 and Scope 1 emissions.

Open Facilities → Data Hub.

Before you start#

  • Create your facilities and meters. Meter readings are matched to meters by meter code.
  • Uploading requires the Organization Manager, Sustainability Manager or Facility Manager role. Running the utility carbon calculation requires the Organization Manager or Sustainability Manager role.

Upload a utility invoice#

  1. In Utility Connections, select Upload invoice.
  2. Choose the utility — electricity, natural gas or water — and upload a PDF, PNG or JPG (up to 10 MB).
  3. ErgOps extracts the consumption, period and unit as a suggestion.
  4. In Verify extracted consumption, check every value against the invoice. Correct it if needed, then Approve (or Reject).

Important Only approved invoices are used in calculations. Always compare the extracted values with the original document.

Import meter readings#

  1. Select Download meter template to get the CSV layout.
  2. Fill in one row per reading: meter_code, period_start, period_end, value, unit.
  3. Select Import meter CSV/XLSX. Up to 500 readings per file.

Accepted units: electricity in kWh, natural gas and water in m3. Timestamps must include a timezone. Re-uploading the same period is skipped; conflicting periods are held for review.

Choose source priority and factors#

A facility may have both a meter and an invoice for the same period. Source policy & carbon decides which one wins and which emission factor applies:

  1. Select Source policy & carbon.
  2. Choose the facility and the energy — Electricity (Scope 2) or Natural gas (Scope 1).
  3. Select the emission factor to use.
  4. Rank the sources. The default order is Direct meter → Provider → Approved invoice → Manual import.

Calculate utility emissions#

Select Run utility carbon calculation. For each facility and period ErgOps multiplies the chosen activity data by the selected factor and reports the result in tCO₂e.

Result Meaning
Calculated Activity data and a factor were available.
Needs data Activity data or a factor is missing. Nothing is estimated.

The results feed your carbon inventory.

Data sources#

+ Add Data Source lets you document where each data stream comes from (for example a meter system, an ERP or supplier data), its category and its schedule. Registered sources are for documentation and planning; data itself arrives through invoice upload, meter import or Smart Imports.
